Data & Player Policy.

With regards to data.

This policy was updated April 26th 2026.

Holding Length

When you submit an RPG Consent Sheet for a game, the data on this sheet is stored for the length of time you are in the Discord server plus 1 year. This means that if you join a new game you will not need to fill in the form again.

Data is kept for an additional year as after a game some people do leave servers but then may come back within taht time to join a newly posted game. As such, the timer restarts.

Storage

The data held on the RPG Consent Sheet is stored on the Miscrosoft Office Platform. Answers from the Microsoft Form are then carried over to a Microsoft Excel Sheet where they are held for usage.

When the time calls for, the data will be accessed by myself (ItsScottish) and used to create the Microsoft Powerpoint presentation to run a Session 0. Dependent upon campiagn type, this powerpoint may Recorded for YouTube or streamed to YouTube and Twitch. A copy will remain on YouTube after the livestream as concluded.

Usage

All information collected from the RPG Consent Sheet is used to create tables for a Session 0 for a new game. At that point, the tables are moved to Powerpoint and stylized. At no point are names put on the tables or converted to public facing. Only I have access to the names.

All of the infomration is used to edit the adventure and curate an experience that is comfortable for each player individually and as a group.

Your data is not sold or given away. Your privacy is a top concern with this data, as such you have the following rights.

Rights

  1. At any point you can request to edit your Consent Form data for any reason.
  2. If you so wish, at any time, you can request a copy of your Consent Form data.
  3. If you leave the server, you can request your Consent Form data be deleted.
  4. Upon requestm your Consent Form data can be passed over to another GM/DM.

Paid Games

In regards to paid games, all that came before still holds true, we will be specifically discussing absence etiquette, payment, and review.

Session Absence

It is your duty as the player, to make myself aware, as soon as possible. If you’re not going to be attending a session, you should tell me as soon as possible so I can mark you as absent. You may also wish to take the initiative and select that you are skipping the session on StartPlaying.Games.

If I have no indication that you are going to be skipping a session, and you have marked yourself as present throughout. Depending upon circumstance, you will be charged. I will be adhearing to the StartPlaying.Games policies.

If you make me aware just before session starts that you are not going to make it. I will try to skip you on StartPlaying.Games. In the event that you are charged, you will be fully refunded.

Etiquette

As a player in a paid game you are held to the Code of Conduct from StartPlaying.Games. If a game is Recorded or Streamed you are also held to the host platform Community Guidelines. Be that Twitch.TV or YouTube.

Given that Twitch.tv is known to have the stricter standard, we will often use this as the gold standard. You are however also held to a basic Table Standard.

Table Standard

  1. Respect all other players.
  2. Do not speak to or about others in a discriminatory way about race, sex, creed or political standing.
  3. Do not metagame.
  4. Do not deliberably speak over others.
  5. The DM has final say.

Some rules will incur a 3-strike policty, others will have you removed from the session or the table. In extreme events you will be removed from the server.

Payment

Payments will be taken automatically on StartPlaying.Games. All payments are taken an hour after the game starts. Please see this article from StartPlaying.Games for more information.

All payments will be taken in line with the policies of StartPlaying.Games. Players will never be asked or required to pay off of platform.

Payment Failure

If a payment fails for one reason or another, you will be contacted by StartPlaying.Games. It is in your job to amend the payment. I may also messege personally regarding this. You will never be confronted or questioned in public.

If your payment fails for two consecutive sessions and is not rectified, you may be dropped from the game.

I (ItsScottish) understand that things happen and times can be hard, unforseen circumstances arise. If this is the case, let me know and we can work something out.

Review

Whilst I welcome reviewers, some people may not wish to do them. That is fine. Others may wish to take some time to cultivate a review, that is fine. Whilst you may be asked to submit a review, your experience will not be hindered if you do not.

Reviews are optional but welcomed. At no point will a refund be held in leiu of a review.

You may be questioned regarding a review as a point of growth for myself. Essentially asked how I could have made it better, so that way I can make it better. You can refuse to elaborate if you wish.

Updates

This policy will undergo frequent updates as and when needed.
